Challenge
Different countries follow different work-authorization regulations, while employee data was scattered across multiple files and tools. This made compliance checks slow, manual, and hard to standardize.
Goal
Our goal was to centralize all work-authorization information in one place to simplify compliance checks, reduce manual effort, and improve reporting efficiency.
How we defined success
process
one that supports fast relocations across multiple countries. The initiative came from the legalization team, who highlighted the need for a unified module to manage work-authorization data. After reviewing available SaaS solutions, the business decided to build an in-house product aligned with internal processes and regulations.
The main research involved interviewing compliance specialists who are responsible for legalization workflows to understand their tasks and challenges. We analyzed their documents, country-specific rules, constraints, and decision logic, forming a complete picture of how compliance checks were performed. This foundation guided our prototyping and later validation with the same experts.
I was the only designer on the project. In addition to the design work for our module, I also handled several constraints that required cross-team collaboration. This included auditing components with platform designers, aligning with the design-system team, and preparing documentation for future releases.
1
Work-authorization rules differed in every location, so the logic had to be aligned for each country. The MVP launched for one country, with the steps for additional locations already defined at that stage. Since no designer was planned for future releases, I prepared clear logic documentation and guidance for handoff.
2
The module needed to fit into the company’s internal platform and work smoothly with what was already in place. I audited the platform to identify which components and interaction patterns we could reuse or adapt, focusing on technical feasibility and minimizing custom development.
filtering aligned with real workflows
Filters match the exact criteria specialists use in daily checks, making it easy to narrow down cases and prepare reports. We built the filters around the needs of the compliance team and the structure used in their Excel tables to reduce cognitive load.
List optimized for quick scanning
The most important fields are shown in the table to support fast checks. Additional details open in an expandable view, keeping the list easy to work with.
OUTCOMES

Data errors from lack of synchronization between system modules and Excel files for legalization tracking are reduced from 2 per month to 0.
2
The average time spent on communication for one Associate legalization case reduced by 50%.
3
Resource Consolidation: 4 Places to 1
Resources needed to store the full legalization history for an associate reduced from 4 places to 1.
